These Policies & Procedures describe the general approach EyeSort uses when assisting businesses with technology discovery, sourcing, supplier evaluation, quote coordination, implementation planning, and ongoing advisory support.
They are intended to help customers understand what to expect when working with EyeSort and how responsibilities are coordinated among EyeSort, customers, technology suppliers, engineering resources, technology services distributors, and other third-party providers.
Our Advisory Approach
EyeSort operates as a technology advisory and sourcing resource designed to help businesses make informed technology decisions across a broad range of solution categories.
Our role may include helping customers:
- Identify business and technology requirements
- Review current services, infrastructure, contracts, and operational challenges
- Evaluate potential solution paths
- Identify appropriate suppliers and engineering resources
- Coordinate quotes and supplier responses
- Compare available options
- Support implementation planning and communication
- Review technology needs as business requirements evolve
EyeSort seeks to simplify the evaluation process while preserving the customer’s ability to make the final purchasing decision.
Discovery and Qualification
EyeSort generally begins with a discovery and qualification process intended to understand the customer’s current environment, objectives, constraints, and timing.
Depending on the opportunity, discovery may include information concerning:
- Business locations
- Current technology providers
- Existing contracts or renewal dates
- Number of users or endpoints
- Connectivity and infrastructure requirements
- Communications and collaboration needs
- Customer experience or contact center requirements
- Cybersecurity or cloud requirements
- Mobility, IoT, managed Wi-Fi, POTS replacement, or other specialized needs
- Budget considerations
- Desired implementation timing
- Technical or operational concerns
Customers are encouraged to provide complete and accurate information because supplier recommendations, engineering guidance, pricing, and implementation planning may depend on the information available during discovery.
Vendor-Neutral Sourcing
EyeSort is designed to evaluate technology needs from an advisory perspective rather than representing only one technology manufacturer, carrier, or service provider.
When appropriate, EyeSort may evaluate multiple suppliers, platforms, solution categories, or engineering approaches before recommending a potential path forward.
Vendor-neutral does not mean that every supplier in the marketplace will be considered for every opportunity. Supplier selection may be influenced by factors including:
- Customer requirements
- Supplier capabilities
- Geographic availability
- Technical compatibility
- Commercial terms
- Service history
- Engineering resources
- Contract requirements
- Implementation capabilities
- Customer preferences
- Available supplier relationships
The objective is to identify an appropriate solution path based on the specific opportunity rather than automatically directing every customer to the same provider.
Supplier and Distribution Relationships
EyeSort may work with technology suppliers directly or through technology services distributors and related channel relationships that provide access to supplier portfolios, engineering resources, quoting tools, implementation support, and other services.
These relationships may allow EyeSort to coordinate opportunities across multiple technology categories while maintaining a single advisory relationship with the customer.
Suppliers and other third parties remain independent organizations responsible for their own products, services, contracts, engineering, network operations, platforms, personnel, service delivery, warranties, and support obligations.
Compensation Disclosure
EyeSort may receive commissions, referral compensation, residual compensation, bonuses, or other compensation from participating technology suppliers, technology services distributors, or related channel partners when customers purchase eligible products or services through relationships associated with EyeSort.
Compensation structures may vary by supplier, product, service, contract term, promotion, or other commercial factors.
EyeSort’s advisory process is intended to focus on customer requirements and solution fit. However, because compensation may differ among suppliers and solutions, customers should understand that EyeSort may have a financial relationship with suppliers or distribution partners involved in a transaction.
EyeSort does not represent that it receives identical compensation from every supplier or for every technology solution.
Where a customer requests clarification regarding the nature of EyeSort’s role or compensation relationship for a specific opportunity, EyeSort will make reasonable efforts to provide appropriate information, subject to contractual, confidentiality, and supplier restrictions.
Supplier Selection
EyeSort may recommend one supplier, multiple suppliers, or a combination of suppliers depending on the customer’s requirements.
Supplier selection may consider:
- Technical fit
- Service availability
- Pricing and commercial structure
- Engineering capabilities
- Implementation resources
- Scalability
- Support structure
- Geographic coverage
- Supplier specialization
- Customer experience
- Contract flexibility
- Existing customer infrastructure
- Customer preference
EyeSort does not guarantee that the lowest-priced supplier will always represent the best overall solution.
Quotes and Pricing
EyeSort may coordinate pricing requests and quotations from suppliers or technology services distributors.
Supplier pricing may be subject to:
- Address qualification
- Site surveys
- Technical review
- Credit approval
- Contract term
- Equipment requirements
- Construction costs
- Taxes and regulatory fees
- Promotional eligibility
- Service availability
- Supplier approval
- Other supplier-specific conditions
Pricing communicated during preliminary discussions should not be considered final unless it has been formally confirmed through the applicable supplier or contracting process.
EyeSort may assist customers in comparing quotes, but the customer remains responsible for reviewing final pricing, contractual obligations, service descriptions, and supplier documentation before approval.
Engineering Resources
Some technology opportunities require engineering review, solution design, technical validation, security assessment, architecture planning, or other specialized expertise.
EyeSort may coordinate access to supplier engineers, technology services distributor engineering teams, implementation specialists, or other qualified resources.
Unless specifically agreed otherwise in writing, EyeSort does not itself represent that it is the licensed engineer, licensed contractor, manufacturer, carrier, or technical service provider responsible for the underlying design or installation.
Technical recommendations provided by third-party engineering resources remain subject to the qualifications, assumptions, documentation, and responsibilities of those resources.
Customer Approval and Decision-Making
EyeSort may provide information, comparisons, recommendations, and coordination support, but the customer retains responsibility for the final purchasing decision.
Customers should review:
- Supplier proposals
- Order forms
- Contracts
- Service descriptions
- Pricing
- Contract terms
- Renewal provisions
- Early termination provisions
- Equipment requirements
- Installation responsibilities
- Service-level agreements
- Security requirements
- Implementation plans
EyeSort does not execute supplier agreements on behalf of a customer unless expressly authorized and permitted through a separate written arrangement.
Deal Registration and Supplier Engagement
Where applicable, EyeSort may register an opportunity with a supplier, technology services distributor, or related channel partner in order to establish the opportunity, request pricing, obtain engineering assistance, or protect the advisory relationship associated with the customer engagement.
Registration rules, eligibility requirements, pricing protections, and ownership rules are determined by the applicable supplier or technology services distributor and may vary between providers.
EyeSort cannot guarantee that every opportunity will qualify for registration, special pricing, channel compensation, or supplier protection.
Orders and Contracts
Orders for third-party technology products and services are generally subject to the terms and conditions of the applicable supplier or service provider.
EyeSort may assist in coordinating order information, documentation, status updates, and implementation communications, but the supplier remains responsible for accepting and fulfilling its own orders.
Customers are responsible for confirming that order details are correct before approval or signature.
Implementation Coordination
EyeSort may help coordinate implementation planning among customers, suppliers, engineering resources, project managers, installers, and other third parties.
Implementation support may include:
- Scheduling coordination
- Status communication
- Escalation support
- Supplier coordination
- Installation-readiness discussions
- Number-porting coordination
- Service cutover planning
- Documentation review
Unless specifically agreed otherwise in writing, EyeSort does not control supplier installation schedules, construction timelines, carrier facilities, technician availability, third-party equipment delivery, permitting, or other external implementation dependencies.
Delays and Service Availability
Supplier installations and implementations may be affected by circumstances outside EyeSort’s control, including:
- Construction
- Permitting
- Facility readiness
- Building access
- Network availability
- Equipment availability
- Supplier staffing
- Customer delays
- Weather
- Third-party dependencies
- Technical qualification
EyeSort may assist with communication and escalation when delays occur but cannot guarantee installation or completion dates provided by third parties.
Existing Services and Account Ownership
Some suppliers maintain rules concerning existing customer accounts, existing services, account ownership, renewal eligibility, channel participation, commissions, or account-transfer requirements.
EyeSort may be limited in its ability to receive compensation, register an opportunity, modify an existing account, or manage certain transactions depending on supplier rules.
When these situations arise, EyeSort will make reasonable efforts to explain the available path forward based on the information provided by the supplier or technology services distributor.
Conflicts of Interest
EyeSort seeks to identify solution paths based on customer requirements and business fit.
Because EyeSort may maintain commercial relationships with multiple suppliers and technology services distributors, potential financial interests may exist when a customer selects certain products or services.
EyeSort will make reasonable efforts to avoid knowingly allowing compensation alone to determine a recommendation and may disclose material relationship information when appropriate or requested, subject to applicable confidentiality and contractual restrictions.
Customer Information and Confidentiality
Information provided by customers may be shared with suppliers, engineering resources, technology services distributors, implementation partners, or other third parties when reasonably necessary to evaluate, quote, design, implement, or support a requested technology solution.
EyeSort does not intend to distribute customer information to unrelated third parties simply for independent marketing purposes.
Personal information submitted through the EyeSort website is also handled in accordance with the EyeSort Privacy Policy.
Supplier Confidentiality and Proprietary Information
EyeSort may receive supplier pricing, commission information, engineering documentation, product information, promotions, or other materials that are confidential, proprietary, or subject to nondisclosure requirements.
EyeSort may be unable to disclose certain supplier, commission, contractual, or proprietary information when disclosure would violate an applicable agreement, supplier policy, or confidentiality requirement.
Ongoing Advisory Support
Technology requirements may change over time due to business growth, new locations, contract renewals, evolving security requirements, supplier changes, emerging technologies, mergers, acquisitions, or other operational developments.
EyeSort may provide ongoing review and advisory support to help customers identify when existing solutions should be reevaluated.
Ongoing support may include:
- Renewal review
- Technology benchmarking
- Supplier evaluation
- Service-change coordination
- Upgrade planning
- New-location sourcing
- Multi-location standardization
- Escalation assistance
- Technology roadmap discussions
The availability and scope of ongoing support may depend on the nature of the customer relationship and applicable supplier arrangements.
No Guarantee of Outcome
Technology decisions involve technical, financial, operational, contractual, and third-party considerations.
EyeSort does not guarantee that any particular recommendation, supplier, technology, implementation, or service will achieve a specific business, financial, performance, security, or operational outcome.
Customers should evaluate material business and contractual decisions using their own legal, financial, technical, security, and other professional advisors when appropriate.
Updates to These Policies & Procedures
EyeSort may revise these Policies & Procedures from time to time as business practices, technology, supplier relationships, regulatory requirements, or operating procedures evolve.
When material updates are made, the effective date displayed at the top of this page will be updated.
